What personal information we collect, why, and what rights you have.

Latitude & Lace (“we”, “us”, “the studio”) designs and sells personalised digital map artwork through this website. This policy explains what personal information we collect, why we collect it, how long we keep it and what rights you have. It applies to this website and to orders placed by email or through our checkout provider.

1. Who is responsible for your data

The data controller is Latitude & Lace, an independent design studio. For any question about this policy or about your personal data, write to [email protected].

2. What we collect

We only collect information that is needed to answer your enquiry and to produce your order.

We do not collect sensitive personal data, and we do not knowingly collect information from children under 16.

3. Cookies and similar technologies

This website does not set advertising cookies and does not run third-party advertising or profiling trackers. Cookies may be set by the content management system for basic, functional purposes — for example remembering a form state or keeping an administrator session — and by our hosting provider for security and load balancing.

If we add web analytics in future, this policy and the cookie notice will be updated before it is switched on, and where the law requires it we will ask for your consent first. You can block or delete cookies at any time in your browser settings; the site will continue to work for ordinary browsing.

4. Who we share data with

We never sell personal data. We share the minimum necessary with service providers who help us run the studio:

  • Hosting and email providers — to run this website and to send and receive order email.
  • Payment processor — to take payment, issue receipts and handle refunds. The processor is the merchant of record for card payments and has its own privacy policy.
  • File delivery service — to send you the finished artwork by download link.
  • Accounting and tax advisers — where we are legally required to keep records of sales.
  • Authorities — only if we are legally obliged to disclose information.

5. International transfers

Our providers may store data in the United States, the European Union or other countries. Where data is transferred outside your own country we rely on the safeguards offered by those providers, such as standard contractual clauses, and we choose providers that publish clear data protection commitments.

6. How long we keep it

  • Enquiries that do not become orders — up to 12 months.
  • Completed orders, correspondence and approved proofs — up to 7 years, because tax and accounting rules require sales records to be retained.
  • Your artwork files — kept while the order is active and for up to 12 months afterwards, so a reprint or a lost file can be replaced. You can ask us to delete them sooner.
  • Server logs — a short rolling period set by the hosting provider, typically a few weeks.

7. Your rights

Depending on where you live, you may have the right to:

  • ask for a copy of the personal data we hold about you;
  • ask us to correct inaccurate information;
  • ask us to delete information we no longer need to keep;
  • object to, or ask us to restrict, certain processing;
  • ask for your data in a portable format;
  • withdraw consent where processing is based on consent.

Write to [email protected] and we will respond within 30 days. If you are in the EU or UK and you are not satisfied with our response, you may complain to your national data protection authority. In California, you may also ask us to disclose the categories of information we collect and to delete it; we do not sell or share personal information as those terms are defined by the CCPA/CPRA.

8. How we protect data

Order email and files are kept in access-controlled accounts with two-factor authentication where the provider supports it. Files are delivered over encrypted connections. Only the people actually working on your order can open your details.

9. Your artwork and how we may display it

Your finished map belongs to you for personal use. We may ask whether we can show it in our gallery or on social media, and it will only be shown if you agree. Personal details such as a full home address are never shown in a public image without your explicit permission.

10. Changes to this policy

If this policy changes, the updated version will be posted on this page with a new date. Material changes affecting existing customers will be mentioned in the order correspondence.
